Avoid getting duplicate leads into your system by adding De-duplication aka De-Dupe to your campaigns.

In Databowl we have 2 methods you can control how to handle duplicates.

DeDuplication at a Campaign Level Per Field

On your campaign, every field can be checked for against duplicates.
Simply turn on the deduplication option for the field.

This will check for a duplicate of that value across all leads on this campaign.

Nice and simple and useful if you're checking emails and phones and don't want repeats here.

DeDuplication With More Complex Rules

Our custom deduplication rules help you deal with situations where a one size fits all deduplication wont do.

So if you want to dedupe with more control, you can use our dedupe rules.

Some examples might be:

  • Dedupe against another campaign
    If you have multiple campaigns for 1 client and they all need to share dedupe, this is idea.

  • Allow duplicates after a set amount of time
    Here you can allow resubmissions each year
    ​

  • Control how many duplicates you'll allow
    Maybe you're running a competition and want to allow 2 entries?
    ​

  • Dedupe against sets of fields
    Maybe you'll like to dedupe against email and phone combinations... to allow someone who shares a home phone number to enter with their housemates?

You are able to fully customise the type of deduplication you require and once created, can apply to any campaign in Databowl.

Getting Started

Head to your campaign and find the deduplication box and click add deduplication and click add new.

Creating a Deduplication Rule

  1. Give it a name (this will be visible in the drop down list in Databowl in the deduplication section).

  2. Set the max number of days to apply a de-dupe to e.g 100 would mean it would deduplicate against leads that are a maximum number of days old.

  3. Specify the max duplicates within that time period e.g 0 would allow no duplicates during that period , 1 would allow one duplicate to come through etc.

  4. You can apply a deduplication to a rule group you have previously created. Select the rule group, and it will only de-dupe leads that match this rule group.

  5. Select if this is per supplier, you can create custom rules for each supplier if required

  6. Specify if you require all fields associated to match for a duplicate match.

  7. Or add the fields you want to dedupe with

And then hit save.

You can now add additional dedupe rules as you require.

You are then able to add the field that you wish to apply the deduplication to.

Adding an existing dedupe rule to a Campaign

To add the deduplication to your campaign - go to the 'Deduplication' section inside your campaign - find the name of the deduplication type you created and click on the campaign you wish to dupe against. You can add many rules to allow you to de-dupe against its own campaign or any other campaigns you wish to apply the de-dupe rule too.

Once added you can see the name of the de-dupe in the 'Name' header - the campaign it's checking against under 'Check Campaign', and the fields that it's applying the de-dupe too under 'Field(s)'.

If you want to quickly edit your Deduplication, simply click the edit icon (pen).

Apply to only certain sources

If you want to apply this deduplication to certain sources only - you can click on the source icon (van) which will bring up the option to restrict to chosen suppliers.

Removing from a campaign

If you want to remove the Deduplication, simply click the delete icon (bin).

If you try to add a deduplication rule to a campaign that does not have fields present in the campaign you will be displayed with a warning. There are scenarios when you would add this anyway- e.g you are de-duping against multiple campaigns that all have a different field for phone number. In this example if you had a rule to de-dupe on phone, phone1 and mobile; that does not require all fields to match for a duplicate, its possible you would not have all the fields present in each of the campaigns you applied the de-dupe too. It would however still achieve the object of the de-dupe rule.
